Terms and conditions for provision of interpreting service
1. Booking
Booking requests may be made either over the telephone or by email. The fact that the request has been made indicates that the interpreter’s terms and conditions and fees have been accepted. The booking is not complete until a booking confirmation has been given.
2. Preparation
It is important that the interpreter has as much preparation material as possible. This could be but is not limited to an agenda, lesson plans, handouts, scripts or meeting minutes. These should be sent to the interpreter as soon as they are available prior to the booking.
3. Cancellations
0 – 7 days prior to date of assignment: 100% of agreed fee
8 – 14 days prior to date of assignment: 50% of agreed fee
15 or more days’ notice – no fee
4. Payment
There is a minimum call out fee, a half day fee, a full day fee or an all inclusive fee (where the interpreting requires extensive preparation, the fee will be quoted to include this time.). The fee will be agreed at the time of booking. Travel expenses will be charged in addition to the interpreting fee and the interpreter will decide on the most suitable method of transport. Standard class tickets will be purchased for rail travel, mileage will be charged at 45p per mile. The interpreter reserves the right to charge for travel time on top of interpreting time where the total travel time exceeds 2 hours.
After a booking has been completed, an invoice will be sent either through the post or by email. The total amount must be paid within 30 days of the date issued printed on the invoice. If the invoice is not paid within 30 days, an amended invoice will be sent to the client with a 10% charge for administration cost and time.
If the payment is not made under these conditions, The interpreter understands and will exercise the statutory right to interest under the Late Payment of Commercial Debts (Interest) Act 1998. The interest charged will be based upon the charges stated by the Act at that time.
5. Unavoidable Circumstances
The interpreter undertakes to notify the Client at the earliest possible opportunity if she is prevented from undertaking an assignment due to unavoidable circumstances.
In giving such notice the interpreter shall relinquish any right to:
• remuneration for the uncompleted part of the assignment;
• the reimbursement of any expenses, except those already irrecoverably incurred.
5. Recordings
No recordings of the interpreters work shall be made without the interpreter’s prior consent. Recordings, which are intended for broadcast or publication, may incur an additional fee.
6. Complaints and Disputes
Any complaint or dispute in connection with interpreting work carried out shall be notified to the interpreter by the client (or vice-versa) not later than one month from the final day of an assignment.
If the parties are unable to agree, the matter may be referred to the NRCPD, for further information see www.nrcpd.org.uk. Such referral should be made no later than four weeks from the date on which the original complaint was made.
Fees
There are many things that can affect what a booking will cost. These factors include preparation time, length of booking, unsociable hours, specialist areas of work and many more. However, an example of a standard daytime weekday booking would be as follows:
Short duration fee – £100
Half day fee – £160
Full day fee – £320
